Cbus implements iqBoard on the iPad platform for its Board
Melbourne, 15 August, 2011 – IQ Group today announced its award-winning iqBoard solution tailored for the iPad platform has been fully implemented by Cbus, one of Australia's leading industry superannuation funds. iqBoard will enable mobile access to electronic Board and Committee meeting packs and information for the Board and four Sub-Committees of Cbus, in a collaborative, secure and rapid delivery environment.
iqBoard is IQ Group’s ”safer than paper” award-winning solution that streamlines the secretariat process to generate and distribute Board documents. iqBoard provides a secure experience for Directors to read and annotate documents on their mobile devices, such as the iPad. iqBoard is hosted from IQ Group's onshore cloud computing environment, iqCloud.
Unlike other implementers of iqBoard, Cbus Trustee Office had already established an electronic board pack platform with the compilation of meeting packs in Adobe Acrobat and distribution via email. However the consumer experience was not standard and electronic collaboration was inconsistent as users relied on a variety of reader and annotation tools across a range of applications. Due to the file sizes exceeding email gateway limits, electronic Board packs were distributed in multiple files. With no central platform to collaborate electronically, Board members still also relied on printed packs to accompany them to meetings.
For Sean Leonard, General Manager - Products and Business Intelligence, Cbus, the impetus for iqBoard arose with Cbus' aspiration to better leverage technology within the organisation. "We had identified four key issues that we had to address. We needed to standardise the consumer experience for Board packs, develop a guaranteed delivery platform and rapid delivery cycle for Directors and importantly address the ongoing issues of the high cost of producing the packs in terms of time and materials. iqBoard addressed all of these issues."
A key driver to implement the iqBoard platform was the industry expertise and strong relationship with IQ Group, as well as the need to identify collaborative technology that would improve performance and efficiency with a great return on investment.
"With IQ Group's assistance we identified the underlying platform of iqBoard, Microsoft SharePoint, as the most suitable collaborative environment for not only the immediate challenge with Board and meeting packs, but with the overall business," continued Leonard.
"We could immediately deliver an improved consumer experience to Board and Sub-committee members in a very short time frame, as well as look to future extensions of the benefits of SharePoint technology across other applications within the business for areas such as project management.
IQ Group's very sound understanding of our technology needs and the business issues we deal with within our industry provided a road map for implementation, training and a business case to transfer our SharePoint skills across future projects. We believe that over time this investment in skills and technology will have benefits for areas of the business that support the Executive Committee," said Leonard.
With the implementation of iqBoard, Board and Sub-Committee members each receive their Board and Committee meeting packs at the same time, in a fully secure and private environment, wherever they may be. iqBoard enables executives to review and collaborate on both meeting and wider fund data if required. Each iPad is distributed with multiple layers of security authentication and encryption together with configurable timeouts and remote device and application management to protect the stored information in the case of loss or theft.
iqBoard has also contributed to the improvement in Cbus’ environmental footprint with a significant reduction in production and consumables as it replaces dozens of hard copy binders being produced on a monthly basis.
The implementation of iqBoard has been highly successful to date for Cbus. "We have had an enthusiastic embrace of iqBoard and for some of our Board Members, iqBoard is being acknowledged as an ideal delivery and collaboration method compared with other Boards that they are involved in," concluded Leonard.
Cbus joins over 250 Company Secretariats and Board Members already using iqBoard in Australia across industries including superannuation, transport and education.
“We were really pleased to be able to deliver our domain expertise with this business and technology solution for Cbus," outlined Graham Sammells, CEO for IQ Group. “This is a streamlined and cost-effective solution for Board communications with immediate productivity and collaboration benefits. The ongoing benefit is the leveraging of the Microsoft SharePoint platform for other business divisions and projects which is key to enhancing performance and efficiencies. We remain committed to assisting the superannuation industry implement the solutions that ultimately make it easier to do business with," he concluded.
In July iqBoard was the recipient of the Victorian Merit iAward in recognition of its achievements in the Security category. The iAwards is targeted at ‘Australia’s best’ and honours the outstanding achievements of those exceptional home-grown innovators who have made exemplary contributions to the ICT industry over the past 12 months.
