GP Hero to Host Free Webinar on Managing High-Volume General Practice Calls Without Overloading the Front Desk

Announcement posted by GP Hero 17 Sep 2026

Free live session on 30 September will explore how Australian General Practices can reduce missed calls, improve patient access and create more capacity for onsite reception teams.

SYDNEY, AUSTRALIA - September 2026 - GP Hero, an offsite staffing provider supporting Australian General Practices, will host a free live webinar on Wednesday, 30 September 2026, focused on one of the most persistent operational challenges facing busy medical clinics: managing high incoming call volumes while maintaining a strong patient experience.

The webinar, "Handle 500+ General Practice Calls a Day Without Missing One," will be held live via Zoom at 12:00 PM AEST.

Designed for Practice Managers, Practice Owners and GP Owners, the session will examine what happens when incoming calls begin to dominate the front desk — interrupting face-to-face patient interactions, pushing administrative work into the next day and requiring Practice Managers to repeatedly step in as overflow support.

"High call volume is rarely just a phone problem," said Sarah Boorman of GP Hero. "When reception is expected to answer every call while also supporting patients at the desk, managing appointments and completing administrative work, the pressure quickly spreads across the whole Practice. The goal is to look at how that workload can be structured differently."

During the webinar, attendees will learn practical approaches to:

  • reduce missed calls and lengthy patient wait times;
  • create additional capacity around incoming calls;
  • protect onsite reception staff from constant interruptions;
  • improve the experience for both callers and patients inside the Practice;
  • determine which call and administrative workflows should remain onsite and which may be suitable for offsite support; and
  • create a more sustainable workflow as patient demand grows.

The session will be presented by Sarah Boorman and May Ann Abrasado, who will draw on GP Hero's experience supporting General Practices with high-volume administrative and patient communication workflows.

When High Call Volume Becomes a Capacity Problem

For many General Practices, growing patient demand does not automatically come with additional administrative capacity.

Reception teams may be expected to simultaneously manage incoming calls, patient check-ins, appointment changes, recalls, inboxes and requests from doctors and clinical staff.

According to GP Hero, the result can be a front desk that remains busy all day while important administrative work continues to fall behind.

"Your reception team can be working incredibly hard and still not have enough capacity to manage everything being asked of them," said May Ann Abrasado. "This webinar is about helping Practices recognise where the pressure is coming from and look at practical ways to give the workload somewhere else to go."

GP Hero has previously shared examples of Australian Practices where changes to call-handling capacity have been associated with shorter patient wait times, more answered calls and greater ability for onsite reception teams to focus on patients physically present in the clinic.

The upcoming webinar will explore the operational thinking behind those outcomes rather than simply asking existing staff to work faster.
