Australian Department of Family and Community Services Selects Inform Systems to supply and implement Interwoven Enterprise Document Management

Interwoven WorkSite solution selected for FaCS information management and compliance requirements
The Australian Governments Department of Family and Community Services (FaCS) has selected Inform Systems Australia (a division of Alphawest Pty LTD) to supply and implement Interwovens document management solution; WorkSite, to ensure the availability and reuse of information across 2000+ users as well as delivering on regulatory compliance for email and document management. FaCS is Australias largest department for expenditure with a massive $A60 billion (in 2002/3) going out to families, age pension and income support payments.
FaCS selected Interwovens WorkSite business based solution, rejecting the traditional document management solutions tried by other government departments with limited success over the years. We were looking for a proven, latest generation electronic document management solution used widely by industry rather than the traditional isolated records management approach adopted previously by other departments, commented Kerrie van Schieveen, project manager for FaCS.
Fundamental to the departments decision to select Inform Systems and the Interwoven solution was WorkSites benchmark status for performance in the professional services market within Australia. Also in its favour was a glowing ease-of-use report from FaCS internal evaluation team consisting of four non-technical sample users, in addition to its tight integration with Lotus Notes which stores the departments mountains of emails. We wanted a solution which would work within our existing infrastructure and which would not require to make major changes to the way in which people work, said van Schieveen.
Historically, documents were stored in disparate servers spread across the departments eight offices around Australia, on networks, in email systems and on individuals PCs, making information increasingly difficult to manage or find. Implementing a centralised document management system that would not only manage emails as a corporate record but would manage the sheer quantity of case material was a high priority for the department.
The goal in implementing WorkSite is for the organisation to have control over all documentation, complete records of all transactions, accountability assurance and the ability to capture knowledge as it is created. WorkSite will also ensure an audit trail of which documents were accessed, who accessed them and when, said van Schieveen.
After awarding the contract to Inform Systems for up to 2000 seats of WorkSite, FaCS has begun the implementation program starting with a rollout in NSW to 110 users and will progressively expand to all the remaining states, as well as to New Zealand.
The full Australia wide roll out to all 2000 users is expected to be complete in 2005 with assistance from Inform staff. This will be very progressive, stated van Schieveen. Its a significant change for FaCS, so we are moving cautiously, focusing on the change management issues rather than the technical. Training and user consultation are our priorities.
