City of Joondalup Enhances Process, Improvement and Risk Management with Promapp Deployment

Perth, 9 May 2017 – The City of Joondalup, one of the largest local governments in Western Australia, has selected Promapp business process management software to support the organisation’s ongoing strategy for effective service delivery, business improvement and risk management.

The City had been using software for a number of years to assist with documenting processes as part of its continuous improvement program.  While this software worked, it required manual resources and was time-intensive. 

The City also wanted to establish a central repository for all its processes with an automatic update regime to ensure processes were always current. In addition, enhanced management of processes would provide greater ease in applying the requirements of ISO 9001:2015 in the Infrastructure Services Directorate. 
 
It is expected that implementing the Promapp Improvement Module across the organisation will potentially raise the profile of improvement programs and provide a central collaboration point for improvement actions.
 
The Promapp Risk and Compliance Module will also improve the City’s current manual system for tracking corporate and strategic risks. Implementation of this module will provide the ability to categorise, record, update and track risks alongside associated risk treatments assigned to responsible officers for action and sign-off. The risk data entered will create a unified register and allow live reporting and population of individual dashboards with relevant risk action and responsibility information. Using the Risk and Compliance Module within Promapp will allow greater visibility and accountability giving full support to the City’s Risk Management Framework, which is aligned to AZ/NZS ISO 31000:2009, and the ISO 9001:2015 standard that now focuses on risk based thinking.
 
Following a comprehensive market review, the City of Joondalup selected Promapp based on several factors including its ease of use and its ability to engage with employees, and the availability on a variety of devices. 
 
With a more centralised approach and an enhanced facility for reporting on the status of processes, improvement actions and risks, Promapp will provide the capacity to monitor and communicate the status of processes, improvements and risks and further drive a culture of continuous improvement at each stage. 
 
“Once Promapp is fully deployed later this year, we’ll also be able to link risks directly to actual activities in processes. Staff will be able to take greater ownership of risks and be better placed to monitor them via a notification dashboard and a live feed enabling the updating of risk and compliance records automatically. This will assist with improving effective risk management which remains central to our internal operations,” Mr Hunt said.
