The survey, the third in an annual series, provides insights into how the nation's more than two million small and mid-sized enterprises are working to become more efficient and boost growth. The results also demonstrate how perceptions have changed during the past 12 months. Responses were collected using an online survey emailed to 3000 SMEs across all Australian states. Each recipient was asked to complete a detailed online form and provide responses on a range of topics including business efficiency strategies and any impediments being experienced. The survey found 82% of Australian SMEs believe they are operating cost effectively. This is an increase on last year when 76% of businesses reported being in a similar position. This rise is supported by the fact that 51% of those surveyed said they had implemented cost efficiency initiatives during the past 12 months. However, this number is down compared with last year when 65% reported undertaking such initiatives. A further 21% of SMEs indicated plans to implement cost efficiency initiatives during the coming 12 months, which compares with 13% in last year's survey. "This year's results demonstrate that strong efficiency improvements continue to be made by Australian SMEs," said Antonio Leone, Marketing Manager ANZ, OKI Data Australia. "However, the research also shows there are still significant opportunities for more to be done. It's clear that one of the biggest limiting factors is a lack of available funds for investment." According to the survey, almost two thirds (59%) of Australian SMEs spend less that $5000 a year on efficiency initiatives while 85% spend less than $15,000. "These spending levels mean that, while general IT projects such as hardware, internet connections and printers are affordable, higher-end projects are out of reach. Topics such as Big Data and automation are often discussed, however financing initiatives in these areas is simply unrealistic for most SMEs. For example, our research found just 18% have invested in automation projects." The research found that, during the past year, 74% of SMEs made investments in general 'efficient' IT technology. This included projects that boosted business efficiency such as development of websites, apps and ecommerce capabilities (nominated by 29% of respondents), and digital marketing and online advertising (28%). Asked to consider the factors limiting them from becoming more efficient, 26% of SMEs nominated a lack of finance needed to make up-front investments. This was followed by a lack of skilled staff (24%) and technology challenges such as slow internet connections and legacy equipment that was preventing them from taking advantage of cloud-based services (24%). These results differ only slightly from those of last year when 30% of respondents nominated a lack of finance and 25% a lack of skilled staff as their key roadblocks to improved efficiency. Over the same period, technology challenges as an inhibitor were nominated by 24% - a sharp increase from 13% a year earlier. When it comes to taking advantage of any new business efficiencies that are achieved, more than a third (35%) of survey respondents confirmed they are savings their efficiency savings rather than re-investing the money into other areas. At the same time, 23% said they are investing the savings into finding further efficiencies while 22% are re-investing to develop additional products and services. Compared with the 2016 research, the number of SMEs that believe finding new ways to implement technology is a key way to boost competitive advantage has declined. Of those surveyed, 92% felt this was the case in 2016, however this has now dropped to 74%. "The 2017 survey confirms that, while there continues to be a lot of discussion around the benefits of running lean and efficient operations, SMEs are still on the hunt for fresh opportunities," said Leone. Each was asked to complete a detailed online form and provide input on a range of topics including business efficiency, expenditure on technology and concerns over costs.  The survey found that just over three quarters of Australian SMEs (75.6%) believe their businesses are being run efficiently. This is similar to the result obtained from the inaugural Business Efficiency Survey conducted at the same time last year. Interestingly, 64.6% of the surveyed group said they had implemented new initiatives to improve cost efficiency during the past year. This is a significant increase from the 45% of SMEs that reported doing so last year. A further 13.4% said they were intending to undertake such initiatives during the next 12 months. "This survey has provided a fascinating insight into how Australian SMEs are tackling the challenge of business efficiency improvement," said Antonio Leone, Marketing Manager ANZ, OKI Data Australia. "Our research found a lack of finance was the primary challenge faced by 30% of SMEs trying to realise greater efficiencies. This was followed by skill challenges, nominated by 25% and being unaware of any alternatives identified by 13.8%." The survey uncovered some interesting views when it comes to the areas in which SMEs consider their operations to be inefficient. Of those who responded, 34.2% nominated their website, apps and e-commerce facilities as the greatest source of inefficiency. This was closely followed by IT, technology and online business systems that were flagged by 32.9%. Other areas included digital marketing and online advertising (27.8%) and HR staffing costs and productivity (25.3%). When asked about the topic of business technology, 75.6% of survey respondents said they considered finding new ways to implement it a key opportunity for competitive advantage. However, somewhat counter intuitively, 62.2% said they were not planning to undertake a technological improvement campaign during the next 12 months. When asked to nominate the areas in which they had made investments to improve efficiency during the past year, 71% said it had been the area of IT, technology and online business systems. A further 27.4% pointed to their website, apps and e-commerce systems.  "These results show that, although SMEs understand they can achieve efficiency improvements through investment in new technology, only just over a third have plans to do so," said Leone. "This could lead to growth constraints during the coming 12 months for some organisations." The survey found the majority of Australian SMEs (58.5%) typically spend up to $5000 a year on technology to improve efficiency. The key factors considered before making a purchase were usability, cost and ease of implementation. A further 29.3% of respondents reported they spend between $5,000 and $15,000 each year while only 9.8% spend between $15,000 and $50,000. Just 2.4% spend more than $100,000 each year. Interestingly, when asked whether they would invest more money in additional technologies to increase business efficiency, 53.1% of respondents said no.  The survey also asked respondents to indicate where any savings being achieved through the use of new technologies are being allocated. It found 37.1% were saving the money in a 'rainy day fund'. A further 16.1% said they were investing the money in innovation or gaining a competitive advantage while the same number were allocating the funds to additional marketing activities.   Respondents were asked to consider where, during the past 12 months, they had found it most difficult to see a return on investment. The area of IT, technology and online business systems was flagged by 31.5% of respondents followed by digital marketing and online advertising (24.1%). A resounding 91.5% of respondents said they considered cost efficiency a critical factor when considering the cost of maintaining technology. "The survey clearly shows that Australian SMEs believe cost-effective technology is a critical factor when trying to achieve efficiency improvements," said Leone. The survey provides a unique insight into how the nation's small and mid-sized firms are working to make themselves more lean and cost efficient.    The survey found that three quarters of Australian SMEs believe their businesses are being run efficiently. Of the surveyed group, 45% said they had recently undertaken efficiency initiatives while a further 23% indicated they were planning to do so soon.   Conducted last month, the survey incorporates responses from 500 SMEs across the country. Of the sample, 57% were micro businesses (one to five people) while a further 23% had between six and 20 people. The remaining respondents had between 20 and 200 people in their businesses. "This survey has provided an interesting view into the efficiency levels within SMEs of various sizes," said Antonio Leone, Marketing Manager ANZ, OKI Data Australia.  "When it comes to micro businesses, an impressive 90% said they felt they were running efficiently. However this dropped to 54% for organisations of between six and 20 people." The survey results indicate that organisations struggle to maintain operational efficiencies and cost effectiveness as they grow. While a micro business can keep an effective lid on expenses, larger firms face higher charges for everything from staff costs and office space rental to electricity and technology. It also becomes more difficult to remain as efficient when growing into a larger operation. The surveyed firms were also asked to nominate their key costs of doing business relative to the benefits that they received from that spending. Items considered to deliver the best return included supply chain operations and marketing and advertising activities. At the same time, respondents nominated staffing costs and information technology as among those areas in which returns were not as effective. While the staffing cost issue might be addressed through a push for changes to penalty rates (particularly in retain and hospitality), the issue of return on IT investment may require a longer-term approach. "The survey results clearly show that many Australian SMEs are looking for ways to make more efficient and effective use of their IT investments," said Leone. "As an example, of those who said they were operating effectively, 62% said they made the acquisition of reliable technology and extended warranties a priority. Those that did not see themselves operating efficiently did not make these factors a priority."   Of those organisations that have undertaken cost optimisation projects, the targets for that optimisation have been varied. Of those surveyed, 29% said they had realised efficiencies through reviewing their spending on advertising, 26% on IT procurement and 24% on IT maintenance. Of the firms undertaking such projects, almost 75% reported they had been able to reduce overall expenditure by at least 6% while a quarter (25%) said they have managed to save more than 15% of total expenditure. "The survey shows that, when it comes to improving efficiencies, Australian SMEs are really only just getting started," said Leone.  "Of the survey respondents, more than 75% said they believe there is even more room for improvement." Leone said the results were encouraging and clearly showed that most Australian SMEs were continuing to proactively look for way to boost their cost efficiencies.
